Job Description

Assistant to CEO & Administration Officer

We are looking for a highly organized, proactive, and responsible Assistant to the CEO & Administration Officer to support the CEO in daily business activities while also managing general administrative operations.

The ideal candidate should have excellent communication and organizational skills, be comfortable handling confidential information, and have the ability to manage multiple tasks efficiently.

Key Responsibilities:

Executive Support • Provide day-to-day administrative and operational support to the CEO. • Manage the CEO’s calendar, appointments, meetings, and schedules. • Coordinate meetings and prepare agendas, documents, and presentations when required. • Handle emails, correspondence, and follow-ups on behalf of the CEO. • Prepare reports, presentations, and other business documents. • Maintain confidentiality of sensitive business and personal information. • Coordinate with internal teams, clients, vendors, and other stakeholders on behalf of the CEO. • Follow up on assigned tasks and ensure timely completion. • Assist the CEO with travel arrangements, bookings, and other logistics.

Administration • Manage day-to-day office administration and ensure smooth office operations. • Coordinate with vendors, suppliers, and service providers. • Maintain office records, documents, and administrative files. • Monitor office supplies, equipment, and general office requirements. • Handle administrative correspondence and documentation. • Assist with employee-related administrative matters when required. • Coordinate maintenance, utilities, and other office-related services. • Support management in organizing company events, meetings, and other activities. • Prepare administrative reports and maintain relevant records.

Requirements: • Bachelor’s degree in Business Administration, Management, or a related field. • 2–4 years of relevant experience in executive assistance, administration, or a similar role. • Excellent verbal and written communication skills. • Strong organizational and time-management skills. • Proficiency in MS Office, particularly Word, Excel, and PowerPoint. • Ability to handle confidential information with discretion. • Strong follow-up and coordination skills. • Ability to multitask and work under pressure. • Professional appearance and attitude. • Strong attention to detail and problem-solving abilities. • Previous experience working directly with senior management or a CEO will be an advantage.
